First steps: set-up procedures for letting
Property letting is a complex area, and Landlords embarking on the legal journey must satisfy a range of basic requirements before they can begin to let. HHA is happy to provide advice on all aspects of the process.
Prior to letting, the Landlord is responsible for carrying out the following procedures and acquiring the following documentation, which must be made available to HHA:
Inform your mortgage lender you intend to let your property, and secure approval
Register as a landlord with the Highland Council, who will issue a Landlord ID number
Inform your home insurance provider, and check you have adequate buildings and possessions insurance
Arrange for the property to be checked by a fire safety specialist – and carry out any recommended actions
Provide an Energy Performance Certificate
Detail Council Tax band
Advise on the number of people who may live at the property within the proper Health & Safety guidelines
Ensure the property meets the Repairing, Tolerable and Health & Safety Standards required for private let
Provide a detailed and accurate inventory

Advertising and Tenant Placement
HHA helps Landlords advertise their properties in accordance with legal guidelines, and arranges and conducts accompanied viewings. Our expert, friendly team then handles the sensitive area of tenant vetting, supported by a fair, equality-conscious application process, and following up on tenant references.
We then prepare essential legal documents and complete initial procedures:
- Comprehensive legal tenancy agreement
- Full written inventory
- Prerequisite legal notices to fulfil compliance requirements
- Deposit and initial rent collection
- Signing of contracts, notices and inventory, exchange and key hand-over
- Registering the deposit in a Government approved scheme and confirm compliance with all requirements to protect the Landlord from penalty
As the first point of contact for the tenant in case of any problem, HHA is responsible for handling all communications, and the arrangement of any repairs.
Accounts
Rent collection is demanded monthly in advance; upon receipt and clearance, monies are placed directly in the Landlord’s bank account. The HHA team also issues annual statements detailing rents, commissions and repairs paid and received – and chases any outstanding supplier debts.
In addition, we carry out regular property inspections and report any problems noted or brought to our attention by the tenant, along with recommended actions.
End-of-Tenancy Agreements
Our team draws up and issues appropriate notices, we are also happy to provide advice and recommendations on rent reviews.
Following the tenant’s departure, we conduct thorough Post Tenancy checkouts, including key collection, inventory check, meter readings where requested, and reports to the landlord with a schedule of condition.
Additional services
HHA also arranges for repairs and/or maintenance to be deducted from monthly rent, inspects and monitors Health & Safety requirements – and arranges for EPC / Electrical Installation Certificate Reports (EICR)/ PAT testing / Alarm Checks / GAS & Electrical testing as required.
